Common Documents That Need a Notary in Pennsylvania

Notarization is required or requested for many life and business events. As a mobile notary serving Western PA, these are the documents I see most often and what you should bring to keep the signing fast and compliant.

Use this list to double-check your paperwork and make sure you have the right identification, witnesses, and payment ready before I arrive.

Real Estate & Property

  • Deeds and quitclaim deeds – Used to transfer property. Bring government-issued ID, all signers, and any required witnesses.
  • Mortgage or deed of trust packages – Includes affidavits, riders, and disclosures. Bring all pages, IDs for every signer, and closing instructions.
  • Seller's closing documents – Settlement statements, tax forms, and affidavits. Have your IDs, any spouse/co-owner, and wiring instructions handy.

Powers of Attorney & Health Care

  • Durable and general power of attorney – Lets someone act for you financially. Bring valid photo ID for the principal and agent, plus any required witnesses.
  • Health care power of attorney – Names medical decision makers. Bring IDs, witnesses if required by the document, and confirm the signing location permits visitors.
  • Living wills/advance directives – Outlines medical wishes. Bring IDs and witnesses; do not sign until we review the notary certificate.

Financial & Business

  • Affidavits and sworn statements – Common for insurance claims or court filings. Bring valid ID and be prepared to swear or affirm the statement.
  • Loan documents outside of real estate – Business loans, personal loans, and SBA documents. Bring IDs for all signers and any lender instructions.
  • Corporate resolutions and minutes – Shows who is authorized to sign. Bring IDs and any evidence of signing authority (e.g., titles, membership certificates).

Vehicle & Personal Documents

  • Vehicle title transfers – Required for private sales in PA. Bring the original title, buyer and seller with IDs, and the current mileage.
  • Travel consent letters for minors – Shows permission for a child to travel. Bring IDs for parents/guardians and the child's passport details.
  • School and employment forms – I-9 verifications, enrollment packets, or certification letters. Bring IDs and any supporting documents requested by the institution.

Quick Checklist Before We Meet

  • Valid photo ID for every signer (driver's license, passport, etc.).
  • Unsigned documents ready to go, with no blank spaces except signature lines.
  • Witnesses arranged if your document requires them and you want me to provide or confirm availability.
  • Payment method prepared—cash, Venmo, PayPal, Zelle, or check as listed on my pricing page.
  • Any special instructions from your lender, attorney, or agency so I can follow them on site.
